  • Assisting with transaction and online data room management, including setting up and updating and managing data rooms, document redaction and providing support to users.
  • Assisting with company secretarial services including maintaining statutory registers, filing notifications at Companies House and generally managing company secretarial files.
  • Maintaining well-organised electronic case files using the firm’s client management systems.
  • Setting up and sending out documents via electronic signing platform AdobeSign.
  • Managing diaries, arranging meetings, and coordinating logistics for multiple solicitors.
  • Providing team administrative support for team meetings including preparing agendas, taking minutes and scheduling action points and follow-ups.
  • Communicating professionally with clients, colleagues, and external parties, maintaining confidentiality at all times.
  • Supporting solicitors with general administrative tasks including filing, scanning, and billing support.
  • Proactively supporting the wider team in ensuring deadlines and priorities are met efficiently.

What We’re Looking For

Personal Attributes:

  • A confident and professional individual who thrives in a collaborative team environment.
  • Highly organised, with strong time management skills and the ability to manage competing priorities effectively.
  • Exceptional attention to detail, with a commitment to producing accurate, high-quality work.
  • Strong document production and formatting skills, with excellent spelling, grammar, and presentation.
  • Proactive and self-motivated, with a positive and solutions-focused approach.
  • A clear and effective communicator, both written and verbal, with a professional and courteous manner.
  • Comfortable working in a fast-paced environment and able to remain calm under pressure.
  • Discreet and trustworthy, with the ability to handle confidential information appropriately.
  • Confident user of Microsoft Office, particularly Outlook and Word, with the ability to quickly learn new systems and technology.
  • Previous experience using case management systems, electronic signing platforms and online data rooms and undertaking company secretarial services would be helpful but is not essential.
